A. Information You Provide Directly

- Identity & Contact Information: Full name, email address, phone number (including mobile phone number for SMS communications), mailing address, and job title or company name.
- Account Information: Username, password, and profile details when you register for an account.
- Payment Information: Billing address and payment card details (processed securely through our third-party payment processors; we do not store full card numbers).
- Communications: Messages, inquiries, feedback, or other content you send us via forms, email, SMS, or phone.
- Voice & Audio Data: Recordings, transcripts, and related data submitted to or generated by our AI-powered voice services, as necessary to provide the VoiceFind.ai platform functionality.
- SMS Opt-In Data: Your mobile phone number and the date, time, and method of your consent to receive SMS communications from us.

B. Information Collected Automatically

- Device & Usage Data: IP address, browser type and version, operating system, device identifiers, referring URLs, pages visited, time spent on pages, and clickstream data.
- Log Data: Server logs that record your interactions with our services, including timestamps and actions taken.
- Cookies & Similar Technologies: See Section 9 (Cookies & Tracking) for details.
- Communication Metadata: Date, time, duration, and delivery status of SMS, MMS, and voice communications sent or received through our platform.

- Telecommunications carriers and messaging providers (such as Twilio) that facilitate our SMS and voice communications.

- Publicly available sources and data providers for business verification purposes.

- Service Delivery: To provide, operate, maintain, and improve VoiceFind.ai's features and functionality, including AI-powered voice search and communications tools.

- SMS & Phone Communications: To send you text messages and make or receive phone calls for service notifications, account alerts, one-time passcodes (OTP), customer support, and — where you have provided separate consent — promotional and marketing messages.
- Customer Support: To respond to your inquiries, troubleshoot issues, and provide technical assistance.
- Legal & Compliance: To comply with applicable laws, regulations, and legal processes, including telecommunications regulations (e.g., TCPA, CTIA guidelines, Twilio Acceptable Use Policy, and A2P 10DLC requirements), and to enforce our Terms of Service.
- Safety & Security: To detect, prevent, and investigate fraud, abuse, security incidents, and other harmful activities.
- Analytics & Improvement: To analyze usage trends, measure the effectiveness of our services, and inform product development decisions.
- Marketing (with consent): To send promotional emails or text messages about our products and services where you have opted in or where permitted by applicable law.

4. SMS & PHONE COMMUNICATIONS

This section provides specific disclosures required under the Telephone Consumer Protection Act (TCPA), the CTIA Messaging Principles and Best Practices, Twilio's Acceptable Use Policy, and applicable A2P (Application-to-Person) 10DLC campaign registration requirements.

A. Consent to Receive SMS Messages

We will only send you SMS/MMS messages if you have expressly opted in to receive them. Consent may be obtained through:
- Completing an online form on our website where SMS opt-in consent is clearly disclosed;
- Sending an initial inbound text message to our designated number;
- Verbally agreeing during a phone call where the terms are clearly communicated to you; or
- Signing a written agreement that includes SMS communication terms.

Your consent to receive SMS messages is not a condition of purchasing any product or service from VoiceFind.ai.

B. Types of SMS Messages We Send

Depending on your opt-in preferences and the nature of our relationship with you, we may send:

- Transactional / Service Messages: Account notifications, appointment confirmations or reminders, delivery or service status updates, one-time passcodes (OTP) for account authentication, and billing or payment alerts.
- Informational Messages: Product updates, feature announcements, support follow-ups, and responses to your inquiries.
- Promotional / Marketing Messages: Special offers, discounts, or promotional content related to VoiceFind.ai services (sent only where you have provided explicit consent for marketing communications).

C. Message Frequency

Message frequency varies depending on the nature of your relationship with us and your account activity. Transactional messages are sent as triggered by account events. Marketing messages are sent periodically (typically no more than 4 messages per month unless otherwise disclosed at the time of opt-in).

D. Message & Data Rates

Message and data rates may apply. Charges are assessed by your wireless carrier. VoiceFind.ai does not charge separately for SMS messages beyond any applicable service subscription fees.

E. How to Opt Out

You may opt out of SMS communications at any time by:
- Replying STOP to any SMS message you receive from us. We will send a one-time confirmation message and then cease sending SMS messages to your number.
- Contacting us at privacy@voicefind.ai with your opt-out request and mobile phone number.
- Updating your communication preferences in your account settings.

After you opt out, we may still send you non-marketing transactional messages that are essential to your account or service, unless you request complete cessation of all SMS communications.

F. How to Get Help

Reply HELP to any SMS message to receive instructions for opting out or for customer support contact information. You may also contact us at privacy@voicefind.ai or at the contact information in Section 13.

G. Supported Carriers

Our SMS messaging service is available on all major U.S. wireless carriers, including (but not limited to) AT&T, Verizon, T-Mobile, Sprint, Boost Mobile, MetroPCS, U.S. Cellular, and Cricket Wireless. Carrier availability is not guaranteed for all messages or all carriers.

H. No Sharing of Phone Numbers for Marketing

WE DO NOT SELL, RENT, SHARE, OR OTHERWISE DISCLOSE YOUR MOBILE PHONE NUMBER TO THIRD PARTIES FOR THEIR OWN MARKETING OR PROMOTIONAL PURPOSES. Your phone number is used solely to communicate with you on behalf of VoiceFind.ai and as otherwise described in this Privacy Policy.

I. Telecommunications Compliance

Our SMS and voice communications are facilitated through Twilio, Inc., a registered Communications Platform as a Service (CPaaS) provider. All messaging campaigns are registered with major carriers in compliance with A2P 10DLC requirements. We adhere to all applicable rules set forth by:
- The Telephone Consumer Protection Act (TCPA), 47 U.S.C. § 227;
- The CAN-SPAM Act;
- CTIA Messaging Principles and Best Practices;
- Twilio's Acceptable Use Policy and Messaging Policy;
- The Campaign Registry (TCR) A2P 10DLC registration requirements; and
- Federal Communications Commission (FCC) regulations.

5. SHARING YOUR INFORMATION

We do not sell your personal information. We may share your information in the following circumstances:

A. Service Providers & Vendors

We share information with third-party vendors who perform services on our behalf, including:
- Telecommunications & Messaging: Twilio, Inc. (SMS/MMS delivery, voice communications, phone number management);
- Cloud Hosting & Infrastructure: Cloud storage and computing providers;
- Payment Processing: Secure payment processors (e.g., Stripe);
- Analytics: Web analytics providers (e.g., Google Analytics);
- Customer Support: CRM and help desk platforms.

These service providers are contractually obligated to use your information only as directed by us and in accordance with this Privacy Policy.

B. Legal Requirements & Protection

We may disclose your information if required to do so by law or in good faith belief that such action is necessary to: (i) comply with a legal obligation or valid legal process; (ii) protect and defend the rights or property of VoiceFind.ai; (iii) prevent or investigate possible wrongdoing in connection with our services; or (iv) protect the safety of our users or the public.

C. Business Transfers

In the event of a merger, acquisition, reorganization, bankruptcy, or sale of all or substantially all of our assets, your personal information may be transferred as part of that transaction. - Communication Logs: SMS message logs, call records, and metadata are retained for up to 2 years for compliance, dispute resolution, and fraud prevention purposes.
- Financial Records: Transaction records are retained for a minimum of 7 years in accordance with applicable tax and accounting laws.
- Voice & Audio Data: Retained for the period necessary to deliver the relevant service feature, unless you request earlier deletion or a longer period is required by law.

When your data is no longer needed, we will securely delete or anonymize it in accordance with our data disposal procedures.
